The Operations & Supply Chain Specialist is a critical, multi-disciplinary role designed to manage the technical, regulatory, and logistical complexities of the beauty industry. You will serve as the primary guardian of product compliance, the lead for component procurement, and a key coordinator for retail execution. This role requires a detail-oriented professional who can pivot seamlessly from reviewing ingredients listings to managing international freight and in-store merchandising resets.

$75,000/Annually

Key Responsibilities

1.        Regulatory, Technical & Quality Management - documentation/data management

  • Compliance & Registration: Ensure global regulatory compliance for all formulated products; manage relationships with the Regulatory "Responsible Person."
  • Testing Oversight: Facilitate, maintain, and document all cosmetic testing, including MSDS, Stability, Compatibility, Assay, and Certificates of Analysis (COAs) in coordination with 3rd Party Manufacturers.
  • Standards Library: Maintain the physical and digital archive for Finished Goods and Component Standards.
  • Technical Specs: Manage component specifications, including technical drawings and die lines, ensuring artwork aligns with production requirements.
  • Retail Data Management: Lead the WERCS process, including item entry and ongoing data maintenance.

2. Purchasing & Production Planning

  • PO Management: Create and track purchase orders, ensuring all cross-functional documentation is accurate for data capture.
  • JIT Planning: Provide data-driven recommendations for production scheduling, including ETC (Estimated Time of Completion) and ETAs to ensure components arrive Just-In-Time (JIT).
  • Material Forecasting: Develop and maintain forecasts for raw materials and components to prevent stockouts and overages.

3. Inventory & Global Logistics

  • Inventory Control: Manage component inventory across multiple manufacturers and storage facilities; provide regular status reports.
  • Disposition: Analyze stock levels and recommend the disposition of obsolete or slow-moving inventory.
  • International Transport: Coordinate shipping quotes and customs brokerage for international component shipments into the US.
  • Vendor Accountability: Audit manufacturers to ensure weekly/monthly open order and on-hand inventory reports are completed accurately and timely.

4. Product Development & Manufacturing Support

  • Sourcing & RFQs: Assist in the creation of product briefs and manage the Request for Quote (RFQ) process for new formulations and packaging.
  • Production Approvals: Lead on-site filling approvals and line trials; manage all physical samples required for testing and pilot runs.
  • Financial Support: Review and approve component invoices and support partners on packaging art execution.


Qualifications & Skills

  • Education: Bachelor’s degree in supply chain, Business, or a related technical field.
  • Experience: 3+ years in the Cosmetics or Personal Care industry (highly preferred).
  • Technical Proficiency: Advanced Excel skills (V-Lookup, Pivot Tables); experience with ERP systems and WERCSmart.
  • Regulatory Knowledge: Familiarity with INCI management, FDA/International cosmetic regulations, and MSDS documentation.
  • Logistics Acumen: Understanding of customs brokerage, international freight, and JIT manufacturing.
